Storing Client Data
For me, storing client data is a true nightmare. What I now identify as my ADHD tendencies mean that paper records are out of the question. Eventually they would end up as a compost heap in the corner of my office. That would be no good for my clients and no good for confidentiality and no good for the running of a practice.
Fortunately, as I hope this portfolio shows, organising things electronically is super-efficient for me.
Given the constraints of confidentiality, and GDPR (and its successor legislation since we left the EU) I needed to find something that was UK based and the was secure enough to store client data. Following research and talking with trusted with expertise in this area, and my own expertise derived from working on Customer Relationship Database (CRM) solutions I eventually chose to use [https://writeupp.com|WriteUpp]. This means that all my identifiable client data is stored securely in an encrypted database on a computer in a data-centre. Also, when in transit between that computer and my computer it is encrypted as it travels through the internet.
Keeping the Website version of my contract/GDPR in line with my WriteUpp version
My website and WriteUpp require my contract and GDPR notices to be in slightly different formats. The instructions below are the technical ways that I ensure those are always synchronised. I always have my clients sign the documents through WriteUpp. This has the added benefit that it keeps track of which version of a contract each client signed. This means that when there are significant changes, e.g. when I was able to see clients online, I knew that the clients I was seeing online had that part of the contract and had agreed to it.
